List of current quirks and workarounds with Outlook booking, and Nura Space functionality  



Function/Feature Quirks Workarounds
Buffer Times When bookings are moved or edited, using Outlook, buffer times will not apply to the booking. The buffer time will remain in the same spot of the original booking and will need to be removed manually. Same thing occurs for cancelled meetings Bookings need to be edited or moved via the web app for buffer times to move with the booking 
 
 Reception will need to keep an eye on client floor rooms to manually add/remove buffer times
Future bookings created previously in EMS/Outlook, meaning legacy bookings ignore new buffer rules  Bookings would need to be re-created via the add-in. If this doesn’t happen, reception would need to manage buffer times manually, as you can’t add a room via the add-in once a room has already been added to the meeting.
Multiple room bookings do not apply buffer logic, especially compared to how linked rooms are expected to behave. This is due to having to book the rooms via Location rather than the add-in where it needs to be booked through for buffer times to apply.   N/A



Linked / Combination Room Bookings Previously, linked rooms had a combined email (e.g. mel25.12&[email protected]), Nura Space doesn’t work like this and each room has its own separate email. To book a combination room of Mel 25.12 and Mel 25.13, staff will need to go to either room in the add-in and select ‘Link meeting room’, then select the other room. 
Creating a multiple room booking that has a combination room added You’ll need to create the combination room booking first with the invite, then add the additional rooms by editing the invite and selecting them in the Location field.
 
 The reason you need to do this in two steps is because the add-in will replace what was added in Location 



Multiple Room Bookings  Can only be added via Location (no services can be added this way) Create the booking, and then add services to the rooms via delegate bookings page



Changing Organiser When you are booking on behalf on someone else via the add-in (selecting change organiser), you will also be added as an attendee N/A - Classic Outlook issue



Booking Sync Delays Any booking that you create via Outlook can have a sync delay of up to 20 minutes. This includes creating, editing or cancelling bookings via Outlook. 
 
 This affects all bookings which include:
 - Single bookings
 - Recurring bookings
 - Combination room bookings
 - Multiple room bookings
N/A - MS sync delay



Recurring bookings Creating a recurring booking via Outlook, and then adding the room via the add-in to the booking does not work - only the first room booking will be booked If you are creating the recurrence via standard Outlook, you will need to add the room via Location.
 
 If you are creating the recurrence via the add-in, you will need to set the recurrence in the add-in.
 
 You can't have a mixture of both
Add-in won't allow you to book recurring bookings when there are clashes. You can check if there are clashes by setting up the recurrence in Outlook and using the Location dropdown to select the room you required. It will let you know how many clashes there are (if any). Make the booking if you want to see where the clashes occur.
 
 Note: You will then need to remove the recurrence from Outlook and set it up in the add-in, if you're using the add-in to book the room



Minimum Notice Periods Minimum notice periods are not respected if the booking is moved forward in both Outlook and delegate bookings page. * It currently doesn't work in delegate bookings page, but once it's fixed, any bookings containing catering should be edited via the delegate bookings page.
Ability to add additional quantity of an item after the minimum notice period N/A - Is being fixed



Bookings Without A Teams Link If you select 'don't' host online' in Outlook, and you select a room from the add-in, it still adds 'Microsoft Teams Meeting' in the location. There isn't an actual Teams meeting link which is added, but might be confusing for staff You will need to select 'don't host online' along with toggling off 'MS Teams meeting' in the add-in 



Private Meetings  Nura Space doesn't support private meetings. Meeting titles and attendees will remain visible in the web app bookings page or delegate roles even if the invite is marked as 'private' For a meeting to remain private, you will need to create two bookings:
 1. The room booking with minimal information
 2. Separate duplicate meeting without the room containing all the private details that need to be included



Other / Miscellaneous When adding a room via the Location field, you will get 'suggested rooms' once you start typing. Some staff may think these are the only rooms that are bookable You need to type in the entire room name to find the room. It will then be marked as 'busy' if unavailable for that time
When adding a room via the Location field , it will be added to the meeting as an attendee. If the room is not needed and you remove it from the Location field, it won't be removed from the attendees This is Outlook functionality and not something that can be fixed. You would need to remove the room from Location, and remove it from the attendees list
